What We Can Achieve Together:

The Operations Administrator carries out administrative and operations functions activities in support of the TNC’s conservations efforts for the Eastern Caribbean Programme (based in Grenada with other programme activities across the Eastern Caribbean), supporting approximately eight staff of the programme and other organisational staff, as needed. They are responsible for financial administrative tasks, including processing bill payments, various forms, preparing reports, monitoring administrative spending, serving as liaison with local business compliance organisations, and working closely via videoconference and email with other finance and operations staff located in the Caribbean region and the United States. They serve as liaison between staff and the Human Resources and Technology and Information Systems Departments of TNC and must be comfortable with technology and working in a dynamic virtual environment.  They are responsible for scheduling and coordinating logistics for special events and/or meetings, purchasing, central filing, collecting mail, facilities management, telecommunications, and receiving office visitors. They may assist with the recruitment and onboarding of staff or volunteers. They use available systems (primarily, Microsoft Excel) and resources to maintain, track and research data, and produce and review reports, including maintaining tracking of contracts, payments to vendors and other similar items. Core duties include:

Finance/Accounts Payable:

  • Process, manage and maintain vendor payments within established guidelines and timelines
  • Act as a resource to staff by providing guidance related employee expense reporting as well as supporting documentation required for issuing vendor payments
  • Serve as liaison to business compliance authorities and prepare periodic reports (VAT, AML, etc.)
  • Manage local bank account balance and serve as contact for minor issues
  • Assist with cash receipts within established guidelines
  • Assist the Programme Director with the budgeting for operations-related items
  • May serve as liaison to accountant/auditor, if applicable

Human Resources:

  • May assist with recruitment — job advertisements, interview scheduling
  • Assist in onboarding processes for new employees, including health insurance enrollments
  • Serve as primary time report coordinator for online timesheet system and process timesheet reports, on a monthly basis

Operations:

  • Assist the Programme Director with staff communications, staff meetings, staff engagement (retreats and social events), and coordinating training or professional development opportunities
  • Support project managers and other TNC staff with scheduling as well as coordination of logistics and catering for special events and/or meetings
  • Assist with mailings and correspondence as needed
  • Receive and attend to visitors to the office
  • Serve as liaison to the Information Technology Department
  • Work closely with Caribbean Director of Operations and TNC’s Legal Department on matters related to TNC’s registration to do business and corporate filings
  • Oversee office related issues as it relates to facilities management
  • Manage procurement of all office equipment and supplies, oversee office equipment maintenance, and maintain inventory listing
  • Support filing and record retention
  • Work with the local team members to gather inputs for the annual Emergency Preparedness plan; draft the initial document with those inputs, finalise document after team reviews and comments

What You’ll Bring:

  • Bachelor’s degree and 2 years related experience or equivalent combination
  • Experience coordinating administrative processes
  • Experience generating reports and interpreting data
  • Experience in business writing, editing, and proofreading in English
  • Experience organising time and managing diverse activities to meet deadlines
  • Experience working across teams and communicating with a wide range of people
  • Significant experience using online tools, including multiple platforms and applications, for conducting administrative and operations functions

Additional Information

The starting pay range for a candidate selected for this position is generally within the range of EC$87,000–$92,000 for annual base salary. Where a successful candidate’s actual pay will fall within this range will be based on a variety of factors, including qualifications, specific skills, and experience.

The location for this position is St George’s, Grenada. Only applicants who are currently eligible to work in Grenada will be considered. Unfortunately, The Nature Conservancy is unable to provide support for a work permit for this position.
