Our real estate development company is looking for an detailed oriented, self motivated, results driven person to fill the post of Administrative Assistant.Â
Responsibilities:
- Manage CEO’s calendar; meeting coordination and communication, administrative projects, and tasks requiring logistical planning
- Serve as liaison and central point of information and communication on behalf of team
- Provide problem-solving solutions, status updates, and coordinate activities associated with multiple transactions simultaneously
- Ensure all proper documentation is accounted for and entered into the filing systems
- Completes administrative tasks assigned by the CEO/COO
- Prepares and or edit internal and external letters, memos and mass emails
- Respond to all correspondence (email, telephone etc.), cc’d team members for feasibility
- Take minutes and manage team weekly meeting, action Google docs, file follow up to ensure tasks are completed by stipulated deadlines
- Greet clients and visitors to company office
- Provide a bridge for smooth communication between the CEO and team members
- Other duties and special projects as assigned
- Strong computer skills, especially email, spreadsheets, and presentation creation software, Trello, Zoom, MS Office (MS Excel, MS PowerPoint etc.) and the ability to quickly learn new programmes
- Experience in procurement and inventory management
- Driver’s licence and access to vehicle
Qualifications:
- Minimum 5+ years of experience working as a coordinator or administrator
- Ability to clearly communicate, expressing requirements and expectations to a wide range of individuals
- Excellent written and verbal communication skills, reporting skills, administrative writing skills
- Strong organisational skills that reflect the ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail
- High level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy
- Cooperative and communicative attitude with executive staff, managers, employees and partners
- Strong attention to detail in evaluating the completion of various phases of a project
- Analytical skills to monitor the progress of an undertaking and identify areas needing adjustment or improvement
- Critical thinking and problem-solving skills are essential
- Excellent time management skills and the ability to prioritise work
- Willingness to manage multiple tasks at once and adhere to the guidelines and deadlines
- Experience in Quickbooks Software
- Familiarity with company real estate contracts (e.g., SPA, RA forms)
- Ability to use a high degree of confidentiality with sensitive information, high standard of ethics and confidentiality to handle sensitive information
- Deep understanding of the business, in order to be able to prioritise the time of the CEO/COO, Heads of departments
- Proficiency in Knowledge of office management systems and procedures
